Position Overview

A well-established New York City real estate firm is seeking a motivated and organized Assistant Property Manager to support the day-to-day management of a portfolio of residential and select commercial properties.

This position works closely with the Property Manager and ownership across tenant relations, leasing, maintenance coordination, rent collection, regulatory compliance, property inspections, and financial reporting.

The role is an excellent opportunity for someone with property management experience who is looking to expand their responsibilities and grow within an active NYC real estate organization.

Key Responsibilities Property & Tenant Management
  • Serve as a primary point of contact for tenant inquiries, requests, and complaints.
  • Respond to tenant concerns professionally and ensure issues are addressed in a timely manner.
  • Maintain positive and professional relationships with tenants.
  • Assist with the day-to-day operations of residential and select commercial properties.
  • Maintain accurate tenant, lease, and property records within the property management system.
Maintenance & Property Operations
  • Coordinate maintenance and repair requests with in-house staff and outside vendors.
  • Create and track work orders through completion.
  • Follow up with tenants, maintenance staff, and vendors regarding outstanding issues.
  • Conduct periodic property inspections.
  • Identify maintenance concerns, violations, or deficiencies and coordinate appropriate follow-up.
  • Help ensure properties are properly maintained and operational issues are addressed promptly.
Leasing & Rent Administration
  • Support leasing activities, including property showings, application processing, lease preparation, and renewals.
  • Maintain accurate leasing and tenant documentation.
  • Assist with rent collection and monitor outstanding balances.
  • Track arrears and conduct appropriate follow-up.
  • Prepare notices, reports, correspondence, and other property-related documentation.
Compliance
  • Assist with maintaining compliance with applicable NYC and New York State housing regulations.
  • Support compliance related to rent stabilization and DHCR requirements.
  • Assist with DOB, HPD, Local Law, and other regulatory requirements.
  • Track violations and deficiencies and follow up through resolution.
  • Maintain organized compliance records and documentation.
  • Knowledge of Good Cause Eviction and NYC housing compliance frameworks is strongly preferred.
Reporting & Administrative Support
  • Assist with property and financial reporting.
  • Maintain accurate information within Yardi or other property management software.
  • Prepare and review routine reports, notices, and correspondence.
  • Support the Property Manager and ownership with special projects as needed.
  • Help maintain organized property files and documentation.
Qualifications
  • Minimum 1–3 years of experience in residential property management or a related real estate role.
  • At least 1 year of property management experience required.
  • Familiarity with NYC housing regulations and compliance strongly preferred.
  • Knowledge of rent stabilization, DHCR, Good Cause Eviction, DOB, HPD, and NYC Local Laws is a strong plus.
  • Proficiency with Microsoft Excel, Word, and Outlook.
  • Experience with Yardi or similar property management software is a plus.
  • Strong organizational and time-management skills.

  • Professional and customer-service-oriented approach to tenant relations.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Ability to work effectively with tenants, vendors, maintenance teams, management, and ownership.
  • English proficiency required.
  • Spanish or other bilingual capabilities are a plus.
  • Bachelor's degree preferred.
