Position Overview
We are seeking a highly organized, proactive, and resourceful Executive Assistant to provide high-level administrative, operational, and project management support to the Chief Executive Officer (CEO). This individual will serve as a trusted partner, helping manage executive priorities, coordinate communications, oversee scheduling, and support strategic initiatives across the organization.
The ideal candidate is an exceptional multitasker who thrives in a fast-paced environment, exercises sound judgment, maintains strict confidentiality, and can anticipate the needs of executive leadership while ensuring day-to-day operations run smoothly.
Responsibilities
Serve as the primary point of contact for internal and external communications on behalf of the CEO.
Screen and manage phone calls, emails, correspondence, and other communications.
Coordinate communication and follow-up with government agencies, donors, funders, community organizations, and strategic partners.
Manage and maintain the CEO's complex calendar, including meetings, events, travel, and scheduling priorities.
Coordinate logistics for executive leadership meetings, Board of Directors meetings, donor events, and community engagements.
Arrange executive travel, prepare itineraries, and manage expense reports and reimbursements.
Anticipate scheduling conflicts and proactively adjust priorities as needed.
Prepare agendas, reports, presentations, research materials, and executive briefing documents.
Attend meetings, record notes, and prepare meeting summaries with action items.
Develop project plans, dashboards, and status reports to support executive decision-making.
Organize and maintain confidential files, records, and executive documentation.
Support nonprofit governance activities and assist with reporting and compliance requirements.
Perform additional administrative and operational duties as assigned.
Qualifications
Previous experience as an Executive Assistant, Personal Assistant, or similar executive support role is required.
Experience in the social services, nonprofit, healthcare, or medical field is strongly preferred.
Outstanding organizational, time management, and multitasking skills.
Excellent verbal and written communication abilities.
Strong proficiency in Microsoft Office, including Word, Excel, Outlook, and PowerPoint.
Ability to work independently while managing multiple priorities and meeting deadlines.
Professional demeanor with exceptional discretion and the ability to handle confidential information.
Strong problem-solving skills with a proactive, solutions-oriented mindset.
Familiarity with office technology, scheduling platforms, and standard business applications.
High school diploma or GED required; Associate's degree preferred.
Bilingual (Spanish, Chinese, or Yiddish) is a plus.
Must be willing and able to travel between Brooklyn and Manhattan as needed.
