Sales Assistant – Commercial Real Estate Brokerage Job Summary: The Sales Assistant will support a high performing real estate team, working directly with the Principal Broker, one of the top multifamily brokers in the NYC Market. This role combines traditional administrative assistant responsibilities, with direct active sales support to Lev Mavashev – assisting him with originating, marketing, and closing deals. Assistant Responsibilities: Calendar Management: Efficiently manage  calendar, scheduling meetings, calls, and appointments while prioritizing critical tasks for ongoing deals. Email Management: Monitor and respond to emails, flagging important messages and drafting responses as needed.  Meeting Preparation: Organize agenda, prepare presentations, and provide follow-up action items. Client Relations: Serve as the first point of contact for potential investors, clients, and partners. Also organizing property tours and ensuring prompt and professional communication with all parties. Basic Office.

Operations/Management: Oversee administrative tasks, such as expense reporting, invoicing, and vendor coordination. Also assist with strategic initiatives, tracking progress, and ensuring deadlines are met. Sales/Support Responsibilities: Deal Coordination: Assist in tracking deals from initial inquiry to closing, ensuring all necessary documentation is complete and deadlines are met. Prepare all documents necessary to list, market, and sell properties. 

Client Engagement: Assist in communication with property owners, buyers, sellers, attorneys, and brokers to facilitate a smooth transaction. Transaction Support: Handling all matters of a real estate sales transaction – pitch book presentations, coordinating due diligence, and preparation of agreements, deal memo, and term sheets.  CRM/Sales Pipeline Management: Maintain and update the CRM system with leads, follow-ups, and deal status.  Review & Approve Marketing Materials: Review proposals, pitch books, marketing materials, social media posts, offering memorandums, and other sales materials as needed. Research: Conduct research on properties. Follow-up: Proactively follow up with clients and partners to keep deals moving forward. Pitching Deals: Assist in preparing and presenting deal opportunities to potential buyers/investors. Prospecting: Research, identifying, and connecting with new investors and potential prospects. 

Qualifications:  Experience: Minimum of 2-3 years in real estate as an assistant, sales coordinator, or in a similar role within the real estate industry.  Admin Skills: Exceptional organizational skills, attention to detail, and the ability to multitask under pressure. ? Applications: Proficiency with basic office and productivity applications such as Slack, Microsoft Office Suite (Word, Excel, Outlook, PowerPoint), Google Workspace, Salesforce, and other database CRM systems. Communication: Excellent verbal and written communication skills with a professional demeanor. Problem-Solving: Strong critical thinking and problem-solving skills to anticipate needs and proactively address challenges. Confidentiality: Ability to handle sensitive information with a high level of attention and discretion. ? Real Estate Knowledge: Familiarity with NYC real estate market and transaction processes is a plus.
